Mentors are never deleted from UMCARES, inactive mentors can be removed from the mentor drop-down menu selection. This only needs to be done when a mentor no longer serves in that role.
Remove All Candidates from an Inactive Mentor’s Record.
All candidates must be removed or reassigned to another mentor before a mentor can be removed.
- If the candidate has withdrawn from the process:
- Open Mentors and Tracks in the candidate’s record
- Open each of the candidate’s tracks that is marked as In Process
- Click Update Track Status
- Choose Withdrawn from the track status drop-down menu, and add the date the candidate withdrew
- Repeat steps for all open tracks
- UMCARES will automatically remove the assigned mentor
- If a candidate is certified:
- Open Mentors and Tracks in the candidate’s record
- Open Candidacy Track
- Click Report of Completion
- Fill out the Report of Completion and click Submit
- Click Close Track and Submit
- Open Psychological Assessment Track if it is still in progress (it may already be complete)
- Choose Complete from the status options
- UMCARES will automatically remove the assigned mentor
- If a candidate has a new mentor
- Open Mentors and Tracks in the candidate’s record
- Click Add Mentor
- Choose the mentor name from the drop-down menu
- Click Unassign for the mentor that needs to be removed
Inactivate the Mentor Record
If a mentor is currently not registered, they will NOT be on the drop-down menu.
- Open the mentor’s profile
- Click Security
- Click Is Active
- Mark as Inactive
- Click Save
Search for a List of Active Mentors
This will show all mentors that are available.
- Click Search on the header bar
- Select Advanced
- Open Roles tab
- Select Candidacy Mentor (GBHEM) from Roles drop-down menu
- Change to Show Active Registered
- Click Search
